Organizing Files — Folders, Rename, Move

A well-organized media library is the difference between finding the right creative in five seconds and wasting ten minutes scrolling through files named IMG_4821.jpg. This article covers creating folders, renaming files individually or in bulk, moving assets between folders, and deleting what you no longer need.

All operations work on your personal folder by default. Owners and Super Admins can also organize files inside any team member's folder.


Prerequisites

To manage files inside another team member's folder, you must hold the Owner or Super Admin role.


Creating Folders

You can create folders at the root level of Creative Hub or nested inside existing folders, building as many levels of hierarchy as you need.

  1. Navigate to Creative Hub from the left sidebar.
  2. To create a subfolder, open the parent folder first. For a top-level folder, stay on the main screen.
  3. Click the New Folder button in the top toolbar (folder icon with a plus sign).
  4. A dialog appears. Type a name for your folder.
  5. Press Enter or click Create.
  6. The new folder appears immediately in your file list.

Naming tips:

  • Use a consistent convention across your team, such as Client Name / Campaign Name / YYYY-MM.
  • Avoid special characters. Stick to letters, numbers, hyphens, and underscores.
  • Keep names short but descriptive. Meta_Retargeting_March beats New Folder (3).

The breadcrumb navigation bar at the top of the screen always shows your current location in the folder tree. Click any segment to jump back up.

Renaming Files and Folders

Single Rename

You can rename any file or folder directly from both grid view and list view.

  1. Hover over the item (grid view) or locate it in the row (list view).
  2. Click the pencil icon — it appears in the top-right corner of the card in grid view, or in the Actions column in list view.
  3. The name becomes an editable text field.
  4. Type the new name.
  5. Press Enter or click the green checkmark to confirm. Press Escape or click the red X to cancel.

Note: File extensions are preserved automatically. When renaming hero-banner.jpg, the .jpg stays attached.

Bulk Rename

Bulk rename applies a consistent naming pattern to multiple files at once — useful when you receive a batch of creatives from a designer and need to standardize names before launch.

Important: Bulk rename applies only to files. Folders in your selection are skipped automatically.

  1. Select the files you want to rename using the checkboxes (top-left on cards in grid view, leftmost column in list view).
  2. With two or more files selected, the selection toolbar appears. Click Bulk Rename (pencil icon).
  3. A dialog opens with two fields:
    • Prefix — The base name. Each file receives a sequential number (01, 02, 03...) after the prefix.
    • Suffix (optional) — Text appended after the number but before the file extension.
  4. A live preview shows the resulting name so you can verify before applying.
  5. Click Rename to apply.

Example: Select 3 images, enter prefix retargeting_carousel_:

Files keep their original extension. Sequential numbers are zero-padded so files sort correctly.


Moving Files

Move files and folders between folders using drag and drop. This works in both grid view and list view.

Single File

  1. Click and hold the file or folder you want to move.
  2. Drag it over the destination folder. The target folder highlights with a blue border to confirm it can receive the drop.
  3. Release the mouse button.
  4. A confirmation toast shows how many files were moved.

Multiple Files

  1. Select multiple files using the checkboxes.
  2. Drag any one of the selected files — all selected items move together.
  3. Drop them onto the destination folder.

Important Notes

  • You cannot move a folder into itself. Wevion prevents this automatically.
  • Moving a file removes it from its current location. Files exist in only one folder at a time.
  • Moving does not change file names or content.
  • A loading overlay appears during the operation to prevent conflicts.
  • Owners and Super Admins can move files across team members' folders using the move function.

Deleting Files

  1. Select one or more files or folders using the checkboxes.
  2. Click the Delete button in the selection toolbar (trash icon). It shows the count of selected items.
  3. The files are moved to trash immediately.

What happens when you delete:

  • Deleted files are moved to Google Drive trash. Wevion does not currently offer an in-app restore function. To recover deleted files, contact your team administrator.
  • Deleting a folder removes its contents. All files and subfolders inside are trashed as well.
  • Media Buyers can only delete files in their own folder. Owners and Super Admins can delete in any team member's folder.

Warning: Deleted files are no longer available in Campaign Launcher. If a file is referenced by an active campaign, verify you no longer need it before deleting.


Best Practices for Organization

1. Build your folder structure before uploading. A proven pattern:

2. Name files descriptively at upload time. black_friday_carousel_1080x1080_v2.jpg is far more useful than renaming later.

3. Use bulk rename for designer batches. Select all generic-named files and apply a meaningful prefix in one operation.

4. Separate active and archived campaigns. Move completed campaign folders into an Archive folder to keep your root view focused.

5. Organize by campaign, not ad set. Ad sets within the same campaign often share creatives. One folder per campaign avoids duplicating files.

6. Delete test uploads promptly. Draft creatives accumulate fast. Clean them up as soon as they have served their purpose.


FAQ

Can I undo a rename? There is no undo button. Rename the file again with the correct name. For bulk renames, you would need to rename each file individually.

Can I move files between my folder and a team member's folder? Yes, if you are an Owner or Super Admin. Media Buyers can only move files within their own folder. Team Folders — Viewing Your Team's Files

Is there a limit to how many folders I can create? No limit. Nest as deep as you need.

What happens to the breadcrumb if I rename a folder? It updates automatically. The new name appears in the navigation path on the next refresh.

Can I create folders inside a team member's folder? Yes, if you hold the Owner or Super Admin role. Navigate into their folder first, then click New Folder.

Does bulk rename work on folders? No. Only files are renamed. Folders in your selection are excluded automatically.
