Google Drive Settings and Configuration

Creative Hub stores all your media assets in Google Drive, but it works differently from a typical Google Drive setup. Wevion manages the entire storage layer through a dedicated service account, so you get the reliability of Google Drive without configuring anything yourself. This article explains how storage works behind the scenes, what you can configure, and how to manage sharing and security.
Prerequisites
Before working with Creative Hub storage settings, make sure you have:
- An active Wevion account with a valid subscription
- At least Media Buyer role or higher in your team
- A modern web browser (Chrome, Firefox, Edge, or Safari)
For managing team-wide settings and viewing all team folders:
- Owner or Super Admin role is required
How Storage Works
Service Account Architecture
Wevion connects to Google Drive through a service account -- a system-level Google identity managed entirely by Wevion. This is the key difference from a personal Google Drive setup:
- You do not need a Google account to use Creative Hub. No Google login, no OAuth consent, no permissions popup.
- Wevion handles all authentication with Google Drive on your behalf. Every file operation is executed by the service account.
- Files are stored on a Shared Drive managed by Wevion, not in any individual's personal Google Drive.
If a team member leaves, their files remain intact and accessible to team administrators.
Automatic Folder Provisioning
The first time you open Creative Hub, Wevion automatically creates a personal folder for you inside the team's Shared Drive. This takes a few seconds and requires no action on your part.
What happens behind the scenes:
- You navigate to Creative Hub in Wevion.
- Wevion checks whether you already have a folder assigned.
- If no folder exists, one is created using your display name (or email address).
- The folder ID is saved to your account settings so it is reused on every future visit.
- You see your empty library, ready for uploads.
If your folder is ever accidentally deleted from Google Drive, Wevion detects this and provisions a new one on your next visit. The system self-heals -- you will not encounter an error.
Storage Quotas
Creative Hub enforces the following limits on individual file operations:

There is no daily upload cap. You can repeat the upload process as many times as needed.
Wevion does not impose a per-user or per-team storage quota. Your available space is determined by the Google Shared Drive configuration.
Note: These limits apply to uploads through the Wevion interface. If you share your folder externally and collaborators upload files directly through Google Drive, Google's own file size limits apply (up to 5 TB per file for most formats).
Folder Structure
How Folders Are Organized
Wevion organizes files in a clear hierarchy on Google Drive:

- Root Folder: A single top-level folder on the Shared Drive that contains all team member folders.
- Personal Folders: One per team member, automatically named using the member's display name or email.
- Subfolders: Created by users to organize their assets. You can nest folders up to 10 levels deep.
Folder Naming
Your personal folder is named after your display name in Wevion. If no display name is set, your email address is used instead. The folder name on Google Drive is not automatically updated if you later change your display name.
Tip: Set your display name before first opening Creative Hub if you want a clean folder name.
External Sharing Settings
You can share your Creative Hub folder with people outside your Wevion team -- freelance designers, clients, or agency partners. This is managed through the Sharing settings within Creative Hub.
How Sharing Works
When you share your folder, Wevion grants the external email address writer access to your personal folder on Google Drive:
- The recipient can view, upload, and edit files inside your folder.
- The recipient receives a notification email from Google with a link to the folder.
- The recipient must have a Gmail or Google Workspace email address.
- Sharing applies to your entire personal folder, including all subfolders within it.
Adding a Collaborator
- Open Creative Hub from the sidebar.
- Navigate to the Sharing section.
- Enter the collaborator's Gmail or Google Workspace email address.
- Click Share.
Removing a Collaborator
- Open the Sharing settings.
- Find the collaborator's email in the shared accounts list.
- Click Remove. Access is revoked immediately.
Important: Sharing grants access to your entire personal folder. If you only want to share specific assets, create a dedicated subfolder for external collaboration.

Data Security
Isolation Between Team Members
Wevion enforces strict data isolation between team members based on your role:

This means a Media Buyer cannot browse, upload to, or delete files from another team member's folder. Owners and Super Admins have full visibility for oversight purposes.
How Files Are Protected
- Encrypted in transit: All communication between Wevion and Google Drive uses HTTPS/TLS encryption.
- Encrypted at rest: Google encrypts all stored files at the infrastructure level.
- No public links: Wevion does not create publicly accessible links to your files. Access is always authenticated through the service account.
- Soft delete: Deleted files are moved to trash first, providing a safety net against accidental deletion.
- Session-based access control: Every file operation verifies that your session has permission to access the requested folder before allowing the action.
What Wevion Does NOT Do
- Wevion does not read or analyze the content of your files.
- Wevion does not share your files with other teams or third parties.
- Wevion does not create public download links unless you explicitly share your folder with an external collaborator.
FAQ
Do I need a Google account to use Creative Hub? No. Wevion manages all Google Drive interactions through its own service account. You do not need to sign in to Google, authorize any permissions, or have a Google account at all.
Can I access my files directly in Google Drive? Not by default. If you share your folder with your personal Gmail address, it will appear in your Google Drive under "Shared with me." However, the primary interface for managing files is always Wevion.
What happens if I delete a file by accident? Deleted files go to Google Drive trash. Wevion does not currently offer an in-app restore feature. A team administrator may be able to recover files directly through Google Drive.
What happens to my files if I leave the team? Your folder and all its contents remain on the team's Shared Drive. Owners and Super Admins retain full access. Files are never deleted when a member is removed.
Can I change my personal folder? No. Wevion assigns it automatically. If the folder is deleted or becomes inaccessible, a new one is created on your next visit.
Can team members upload to each other's folders? Only if your role permits it. Owners and Super Admins can upload to any team member's folder. Media Buyers and Managers can only upload to their own.
Does sharing work with Google Workspace? Yes. External sharing works with both free Gmail accounts and paid Google Workspace accounts.
